The basic purpose of the application is to capture all investments, from investment proposals, selected tenders, contracts to reports, in a data base, and thus enable an investment service and management to efficiently control the use of investment resources where often considerable amounts of money are involved. Typical accounting reports provide these data mostly only through depreciation calculations in the following years.

The solution provides different levels of users such as:

  • Applicant – has the right to lodge applications for investments, also for his/her supervisor marked as Contracting entity. Applicants can view their applications from their folder
  • Reviewer of investments for his/her organization unit – can review all investment folders defined for his/her organization unit (if so defined, also for all organization units that are affiliated to his/her organization unit – e.g. a general manager of a daughter company, all approved investment folders in his/her company
  • Reviewer of all investments – can view all approved investment folders of all organization units and companies (can also have a separate right for his/her organization unit if he/she does not want to review all folders, tenders, contracts, etc.)

Local investment service – receives applications, adds tenders, submits documents for approval, adds contracts and costs for investment folders of his/her company.

According to the function assigned to us, the application offers different options through the fields in the Navigation console.


The application enables heads of departments to simply submit an application (need) for the purchase of equipment to investment service through an entry form. A company can choose such method of collecting applications, but it is also possible to collect applications in paper form which are then entered by the investment service through opening of folders.

An application header is entered into a form and then the specification of application elements (e.g. 2 computers, 1 printer, etc.) with anticipated prices can be added. Documents (e.g. Investment explanation) can also be added to the application.


The investment folder is intended for collecting and reviewing all data of one investment, from application, document elements (explanations, implementation reports), tenders (received and selected), concluded contracts to monitoring of costs of investment realization by individual invoices.

The investment service can view the Application for investment of an individual department, review it and assigns an Investment folder to it if it is in accordance with a plan. Then it collects tenders, defines responsible persons and submits applications in electronic or written form for approval.

Folders are arranged by statuses and can be reviewed according to the rights assigned to individual users.

Folders can also be reviewed by using an extensive browser with the option of setting different search filters. Once search filters are set, queries can be stored for later use.

The browser displays all investment folders that match the requirements and calculates an index between two selected columns (you can choose what will be in the first and what in the second column between an anticipated, selected, contract, realized or unrealized value). The programme also calculates the sum by individual columns. The results can be sorted by selected column.

The search results can easily be imported in Excel, where further analysis can be performed and a report for management can be prepared.


In each folder, an arbitrary number of investment elements (computer, printer, machine, etc.) can be defined. It is also possible to attach documents to each individual element. Users can also view tenders for each individual element, and in the implementation phase also contracts and already realized costs compared with anticipated costs.

Code lists

Code lists are intended for an Investment service and are divided into investment and general code lists. Through codel list editing you can manage your organization units, suppliers and contact persons, define functions and the right to use the Investment module.



The application also enables monitoring of all received tenders for individual investments (folders). An original scanned tender can be attached to basic tender data entered into a prepared form.

At the end, it shall be defined which tender was accepted, and its value is used in later comparisons with the realized investment value as a whole and also by individual folders.


The application enables entry, review and monitoring of all contracts related to individual investments. If contracts are entered and classified by individual elements, it is possible to compare realized values with a contract value.


Checking whether investment consumption is consistent with the anticipated consumption (by tenders or contracts) is a very important element in monitoring investments. Therefore, invoices for individual investments that can be respecified by individual investment elements can also be entered in the application. In this way, a comparison between a realized and tendered value, and a comparison with contract value or with the value anticipated in the proposal for investment can be obtained. It is also possible to monitor the comparison with the annual plan of investment consumption by individual organization units.



The application enables the entry of a plan by individual organization units (budget), which enables later monitoring and comparison with the realized value of investments. In this way, a timely response can be guarenteed in case of overruns.

Data server: Windows 2000, Windows NT, Pentium II 1GHZ or higher, 2GB RAM, hard disc 100GB or bigger, SW – MS SQL, Java Runtime Environment 1.5 or higher, IIS, framework.

PC client: Windows 98 or higher, Pentium II 500MHZ, 128MB RAM, hard disc with minimum 100MB of free space.
