The solution for capturing and editing documents (contracts, organization rules, legal acts, forms, minutes, etc.) that are simply available by one click. Documents can be opened also directly from the image of a process and submitted for coordination. Full traceability can be guaranteed.


Elaboration of a document

The application enables the entry of document attributes such as document code, document title, selection of a digital document prepared in advance, type of document (code list), document version, document administrator, date of document, document creator, selection of a standard/regulation to which a document refers, and a sentence of the standard or article of the regulation.

Document approval and review rights

Four types of users are defined:
  • Reviewers: for each document, groups of users or individuals with the right to review the document can be defined.
  • Approvers (signatories): for each document, a person who has to review and approve the document in the approval process can be defined.
  • Superuser: among approvers, a person who can approve the validity of a document also in a case where a document has been rejected or is not yet approved can be defined.
  • Key users: for each document, persons who will receive the notification of a new document and will guarantee with their approval that they use the new regulation from the date of signature can be defined.



Document revision

Document revision is organized by several sections:
  • Documents: this is a basic review in which users review current versions of documents organized by subjects. Each user can see only those documents he/she is allowed to access. Notification of the number of all and new documents by subjects is also integrated. If users have access rights, they can review also previous versions of documents, signatories, etc. There is a simple and extended browser integrated which enables filtering of document display by different parameters (version, title, administrator, expiry date, standard, signatory, etc.).
  • My documents: section intended for document administrators. In this section, documents of all statuses (valid, in approval process, etc.) and information stating in which phase an individual document exists (e.g. who signed, rejected, reviewed a document) are visible. Each administrator can see only those documents which he/she administers.
  • Documents for approval: this section appears only in case if a user has been defined as a signatory for a specific document. The section disappears after approval (except superusers).
  • Documents for confirmation: this section appears only in case if a user has been defined as a key user for a specific document. The section disappears when the user confirms that he/she is acquainted with the content of a new document.

New versions of documents

If users have adequately defined rights they can also add new versions to documents using the same confirmation procedures as for new documents.

Proposals for modification of documents

For each document, proposals for modifications can be added in the form of a forum through which ideas can be exchanged and proposals can be coordinated.

ISO standards

It can be used to manage document of different ISO standards.



Administration

An extremely parametric prepared administration console enables an administrator a large number of settings: registration of users and user groups, maintenance of the companies code list, maintenance of document groups code list, maintenance of standards/regulations and sentences/articles code list, assignment of statuses to documents and transitions between statuses. Users are assigned rights to manage documents (revision, addition of versions, revision of previous versions, deletion). These rights can be assigned in general for all documents or for specific type of documents.

Integration with processes modelling

The solution is integrated with the Process moduleprocesses modelling. This means that when drawing a documentation workflow, a certain document can be selected from this document base.

Such document can be opened directly on the display of the process documentation workflow whereby the program itself always opens the last valid version of a document.
