CRM

CRM - Customer Relationship Management is firm’s strategy, that is focused more on relationships with firm’s customers than on firm’s products.

CRM strategy focuses on consumer’s buying patterns, data about consumers, communication with them … Customer relationship management is often supported by software (e.g. CRM systems) that allows easier and faster work in this area.

Most common CRM activities:

- finding new customers,

- building databases about existing customers,

- tracking profitability of individual customers,

- tracking behaviour and satisfaction of our customers,

- measuring quality of our relationship with various customers ...

In the past, CRM was rarely used in most firms because technology wasn’t as advanced as today. But IT advances in recent times (e.g. databases, IT systems, e-mails, internet …) have allowed CRM to be more widely adopted.

At first, CRM systems were only affordable to implement for bigger clients. But TOMAS has managed to create CRM software that is also appropriate for smaller enterprises.

TOMAS.CRM has the following features:

1.1 Activities

1.1.1 Entering an activity

Every company wants to achieve good sales results. Unfortunately, these future results are quite unpredictable. But they come from various activities, which can be planned, managed and measured.

TOMAS.CRM allows us to enter every activity that is connected to our clients in the database.

In TOMAS.CRM we can enter calls which are made to existing or potential business partners.

From TOMAS interface we can also send and receive e-mails (addition to existing e-mail program, e.g. Outlook).


Company can add as many input fields as it likes (e.g. text, value, YES/NO fields, date, in case of value fields we can also add formula to calculate from other input fields).

We can also add service/product offers, contracts and other documents related to individual customers (pricing lists, memos, agreements, letter of intent …). When adding a document we choose a file from our hard drive or from documents that have been previously added to TOMAS.DM.

We can also add tasks that need to be performed we specified clients. We can relate tasks to specific opportunities or even bundle them into a project.

1.1.2 Activity monitoring

We can monitor all activities in one place and filter them according to different type (e.g. sent/received e-mails, calls, sent offers…), date, company, opportunity and contact person.

In this interface we can monitor all sales activity of our sales persons and agents.

1.2 Partners

1.2.1 Creating partners’ code list

First phase in CRM is to enter existing business partners. Basic data is usually imported from ERP and also automated.

New potential partner (or opportunities) are entered directly into TOMAS.CRM

There is a form that allows a user fast and efficient data entering about potential partner (helps when we are gathering data from telephone conversation).

Business partners data also contains information about contact person that can be later used when calling them or sending e-mails.

TOMAS.CRM also offers platform approach, so customers can be separated into different platforms and monitor if sales persons’ activities are equally balanced.

Company can add as many input fields as it likes (e.g. text, value, YES/NO fields, date, in case of value fields we can also add formula to calculate from other input fields). With these features TOMAS.CRM can be used with every company without additional programming or coding.

1.2.2 Partners review

In partner monitoring view we can see the list of all partners, with all relevant parameters. Columns can be modified to user’s preferences. Partners can be filtered according to various parameters (e.g. country, responsible person, opportunity, and platform).


1.2.3 Monitoring activity of specific business partner

With clicking on individual business partner we can get a whole overview of our activity with this partner.

We can see who is responsible for this contact, activities’’ diary, contacts, open opportunities, detailed information, documents and tasks.

1.3 Opportunities

Managing opportunities and converting them into business deals is crucial when it comes to improving sales performance. If we lose opportunities we risk losing profit or losing important strategic client.

1.3.1 Adding new opportunity

In TOMAS.CRM we can add as many new opportunities as we like to each costumer.

In the form we enter customer name, interesting products, potential deal value and probability of closing the deal with the customer/client, which rises with our activities related to this opportunity. Software then calculates the deal value based on the probability and other input data.

Company can add as many input fields as it likes (e.g. text, value, YES/NO fields, date, in case of value fields we can also add formula to calculate from other input fields).

1.3.2 Opportunities monitoring

In the following view we can see the list of all opportunities, with all relevant parameters. . Columns can be modified to user’s preferences. Business partners can be filtered according to various parameters (e.g. partner, value, weighted deal value, probability).


1.4 Searching

In the application you can also find powerful searching, which allows searching according to partners, activities and opportunities. We can search using partial words in the columns or by using advanced search. Data in the columns can be sorted and user can specify which columns he wants to have in the browser.

Data can also be exported into Excel and we can also specify which columns are to be exported and in which order. Search parameters can be saved for later use.

1.5 Connections with other TOMAS modules

When looking at each client’s data we can see information from other modules (if they are implemented).

We can see how many projects are in progress and if there are any reclamations.

With click on a link we can see projects and reclamations overview of the specific client, where we can see all details.

With clicking on title in Dashboard line, we can see sales results (for existing clients): in different periods, by volume, by value, RVC, compared to plan and last year, for all products combined and for all sub-groups of products down to every individual product.


We can also prepare table reports that are automatically updated, published in TOMAS and easily accessible. This method can prove as an excellent alternative to manually updating Excel documents and sending them via e-mail.

1.6 Technical requirements

In order to use the application, every user needs modern web browser (Firefox 3.5+, Chrome, IE 10+, Safari). Last stable version is preferred.

Application can be installed on local (also virtual) web server with minimum requirements:

2+ GB RAM, 10+ GB disk, (Linux 3+ or Windows server 2008+)

Or a web cloud server.
